Our client is a community-based initiative in Hastings, East Sussex. They are currently looking for an Executive Assistant to join their dedicated team on an ongoing temporary basis.

The ideal candidate will have demonstrable experience as a Personal or Executive Assistant at Senior Management Level, be able to work under pressure and to deadlines, possess a thorough attention to detail and follow-through with tasks to completion and have good IT skills including Microsoft Office.

As an Executive Assistant you will provide a high level of confidential support to the Senior Leadership Team and the board. You will ensure the smooth management of the work of the SLT, coordinate and support key internal events as well as handle sensitive and complex issues in a professional and objective manner.

The ideal candidate will hold the following skills and experiences:

  • Demonstrable experience as a Personal or Executive Assistant at Senior Management Level
  • Ability to work under pressure and deadlines
  • Be a team player and build relationships that support the work
  • Have a professional and friendly demeanour
  • Possess a thorough attention to detail and follow-through with tasks to completion
  • Be able to maintain strict confidentiality, show sensitivity and exemplary professionalism
  • Have good IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint
  • Be self-motivated
  • Have strong initiative and the ability to see what needs completing in advance

Your duties as an Executive Assistant will include:

  • Acting as a first point of contact dealing with correspondence and phone calls
  • Proactively managing and coordinating the diaries of the SLT by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided
  • Planning and organising travel and accommodation when required
  • Maintaining effective filing, data storage and retrieval systems to meet the needs of the SLT, work with colleagues to promote the take-up of the CRM across the team
  • Providing full personal assistant support by dealing with correspondence and calls, drafting routine letters to a high standard, minuting meetings, taking messages and other administrative tasks as required to support the SLT
  • Providing support for Board meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers and reports, taking minutes and following up action points.
  • Supporting the CEO to keep the Board of Directors/Trustees informed about the work of the organisation and their appropriate training and induction
  • Service meetings of the Senior Leadership Team by drafting and collating papers and reports, preparing manageable agendas, taking minutes and following up on actions points
  • Planning and managing key organisational events such as: AGM, strategy days, staff briefings, visits from funders, community practitioners, students and researchers, and others as required
  • Many other duties as required, including meet and greet guests

Salary:

£12 - £14 per hour depending on experience

Hours:

Monday – Friday, 9am – 5pm
